Privacy Policy

This Privacy Policy explains how Simple Logic Inc. ("we", "us") collects, uses, and shares information when you use ChiefLogs (the "Service").

1. Information we collect

We collect: (a) account information you provide, such as your name, your email address, and your company name, and any optional profile information you choose to add — such as a phone number and professional certifications or license numbers; (b) the documents and images you upload and the metadata we derive from them (for example, detected dates and document classifications); (c) usage information needed to operate the Service, such as page-classification counts; and (d) standard technical data such as log information necessary to run and secure the Service.

2. How we use information

We use information to provide and improve the Service, classify and file your documents, meter usage and process billing, communicate with you (including verification and password-reset emails), provide support, and maintain the security and integrity of the Service.

3. AI processing

To classify documents, page contents are sent to our AI provider (Anthropic) for processing through their API. We do not sell your documents, and we do not use your documents to train our own models. AI processing is performed to return a classification for your use within the Service.

4. How we share information

We share information with vendors strictly to operate the Service, including: cloud hosting and infrastructure, content delivery, security, and document storage (Cloudflare), AI classification (Anthropic), payment processing (Stripe), and transactional email delivery (Resend). These providers process data on our behalf under their own terms. We do not sell your personal information.

Other users — your calling card. If you join a job book as a crew contributor, the profile information you have chosen to share is shown to the owner of that job book. Your name is shared as part of joining. Everything else — such as your phone number, or professional certifications and license numbers — is shared only if you elect it, item by item. Removing a field removes it from the owner's view. Phone numbers are shared so that owners can coordinate work with you; ChiefLogs does not use them for marketing. Certifications and license numbers are shown as self-reported by you and are not verified by ChiefLogs. Documents you submit to a job book are part of the owner's records and are not affected by calling-card changes.

5. Data retention

We retain your account information and content for as long as your account is active and as needed to provide the Service. If you delete your account or request deletion, we delete your documents, images, and derived content within 7 days of your verified request, and backup copies are overwritten in the ordinary course within 14 additional days. We retain limited records after deletion where required for legal, tax, accounting, dispute-resolution, and security purposes — including records of your transactions (invoice history, payment amounts, and billing records). Transaction records are also retained by our payment processor, Stripe, under Stripe's own privacy policy; deleting your ChiefLogs account does not delete Stripe's required transaction records. If you delete your account, your calling card is deleted with it and no longer appears to any job-book owner. Documents you submitted to another account's job book remain part of that owner's records, as described in the Terms. Short-lived operational records used to secure inbound email (such as sender addresses used to detect duplicate or replayed messages) are deleted automatically within hours of receipt.

6. Security

We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

You may access or update your account information, request a copy of your data, or request deletion by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws (such as the right to access, correct, or delete personal information). We will honor such rights as required by law.

8. Cookies

We use only the cookies necessary to keep you signed in and to operate the Service. We do not use advertising cookies.

9. Children

The Service is not directed to children and is intended for use by professionals aged 18 or older.

10. Changes

We may update this Policy from time to time. Material changes will be posted here with an updated date.
